The confirmation process should include a simple line of text, such as "Please confirm receipt of the performance materials by replying to this e-mail." A follow-up message should be sent if no response is received. Additionally, clear clauses must be included in the agreement outlining that musicians are responsible for bringing their own music. Post-COVID, it is understood that most musicians use iPads or tablets to access music digitally. However, if musicians need to print materials, they should be instructed to invoice Red & Black Music for any printing costs, thus alleviating responsibility from Rory. Notes Comments This two-stage confirmation mechanism is similar to the one implemented in SubAgreements (supplier-side contracts) and is now being applied to SubEngagements (supplier-side show advances). The goal is to ensure that all musicians are on the same page and adequately prepared for the performance, reducing the chance of confusion or missed material. The system holds musicians accountable for their preparation, while minimizing the administrative burden on Rory, particularly regarding the printing of materials. This system is also a solution to the recurring issue of communication lapses, such as not receiving timely confirmation of materials, which can lead to confusion and last-minute issues on performance day.
